How to Invite Your Requesters

This article explains how you can invite requesters to join iviva.facility.

In iviva.facility, Requesters are the personnel who submit Work Requests describing maintenance problems or issues they encounter.

There can be three main types of Requesters.

  • Staff/Employees
  • Tenant Users
  • Landlord User

The type of Requesters who come to the picture will differ, depending on your business organization and business requirement.

The first step in the process is to invite relevant Requesters to become a part of the end-users of iviva.facility by configuring them in the system. This task can be done quickly with the User configuration wizard provided by iviva.facility. The process to invite requesters to iviva.facility is described below.

Invite Your Staff/Employees as Requesters

Suppose you require to manage and streamline the maintenance process in your organization. You can easily invite the staff/employees in your organization to submit their maintenance issues in a smarter way with iviva.facility.

Let’s see how you can invite Staff/Employees.

  1. There are 2 main ways to kick off the process:
    1. Click the Invite Requesters button on your Welcome email.
    2. Click the Invite Requesters button under Users section on the Data Configuration page.
  2. New User configuration wizard will be open.
  3. On the User Details window of the User configuration wizard,
    1. Enter the First Name of the Staff member/Employee.
    2. Enter the Last Name and Office Phone in the respective boxes.
    3. Site: This will be filled automatically with your Site Location you provided under Account Information during sign-up.
    4. Select ‘Staff’ as the User Type.
    5. By default, the User Group would be ‘Requesters’.
    6. Click Next.
  4. On the Login Details window,
    1. Login required‘ checkbox will be selected by default. If the User does not need to log in to the system, you can deselect it and continue without a User ID.
    2. Type in the User ID.
    3. Type a password. Re-type the password in the given box. You can even generate a password by clicking the ‘Generate New Password’ link.
    4. If you need to allow the user to manage their password, select the ‘ Allow user to manage password‘ checkbox and proceed. Note: If this checkbox is selected, a checkbox named ‘Notify the user to configure own password’ will be displayed under the Notification Settings section on the Other Settings window, which will be displayed later on the User configuration wizard.
    5. Type in the Identification Number.
  5. Click Next.
  6. On the Staff Details window,
    1. Select the Department of the Staff member. If the required Department is not configured, click Add New Department link to create it.
    2. Select the Work Location of the Staff member.
    3. Type in the other required information related to the Staff member in the given fields.
    4. Click Next.
  7. On the Other Settings window,
    1. Select the required Display Settings to be used in the app.
    2. Under the Notification Settings section, select the required checkboxes and enter the Email address and/or Mobile no according to your requirement.
      • Notify the user to configure own password checkbox: Select this checkbox to notify the user via email to configure his/her own password. Once this checkbox is selected, Email field will be mandatory. This checkbox will be available only if the ‘Allow user to manage password’ checkbox is selected on the previous  Login Details window.
      • Receive messages by email checkbox: Select this checkbox for the user to receive messages by email. Selecting this checkbox will make the Email field mandatory.
      • Receive messages as texts checkbox: Select this checkbox for the user to receive text messages via mobile phone. Once this checkbox is selected, the field named ‘Mobile‘ will be mandatory.
  8. Click Register. Staff member will be registered.

 

Invite Tenant Users

If you are managing your Tenants, see how you can invite them to become requesters at iviva.facility. This enables them to submit maintenance-related issues in a smarter and efficient way, streamlining the maintenance process.

  1. There are 2 main ways to start the process:
    1. Click the Invite Requesters button on your Welcome email.
    2. Click the Invite Requesters button under Users section on the Data Configuration page.
  2. New User configuration wizard will be open.
  3. On the User Details window of the User configuration wizard,
    1. Type in the First Name of the Tenant User.
    2. Type in Last Name and Office Phone in the respective boxes.
    3. Site: This will be filled automatically with your Site Location you input under Account Information during sign-up.
    4. In the User Type box, select Tenant User as the User Type.
    5. By default, the User Group would be ‘Requesters’.
    6. Click Next.
  4. On the Login Details window,
    1. Login required‘ checkbox will be selected by default. If the User does not need to log in to the system, you can deselect it and continue without a User ID.
    2. Type in the User ID.
    3. Type a password. Re-type the password in the given box. You can even generate a password by clicking the Generate New Password link.
    4. If you need to allow the user to manage his/her password, select the ‘Allow user to manage password‘ checkbox and proceed. Note: If this checkbox is selected, Password fields will be hidden (as user will be allowed to manage password) and a checkbox named ‘Notify the user to configure own password’ will be displayed under the Notification Settings section on the Other Settings window, which will be displayed later on the User configuration wizard.
    5. Type in the Identification Number.
    6. Click Next.
  5. On the Tenant User Details window,
    1. Select the corresponding Tenant. If the required Tenant is not found in the dropdown, click the Add New Tenant link to configure the required Tenant.
    2. Click Next.
  6. On the Other Settings window,
    1. Select the required Display Settings to be used in the app.
    2. Under the Notification Settings section, select the required checkboxes and enter the Email and/or Mobile no according to your requirement.

Invite Landlord Users

If you are the chairman of the community group of an apartment complex, you can simply invite your landlord users to register and submit maintenance issues in the premises in an efficient and a smarter way with iviva.facility.

Let’s find out how you can invite your Landlord Users to become the Requesters at iviva.facility and to experience the convenience of submitting issues

  1. There are 2 main ways to start the process.
