How to Set up Facility Coordinators to acknowledge Work Requests

If your organization doesn’t have dedicated Helpdesk staff to handle incoming Work Requests, you need to set up Facility Coordinators using the Facility Staff members already configured in iviva.facility. This ensures that submitted Work Requests are routed directly to the appropriate Facility Coordinator based on their expertise. For example, if a Work Request involves an issue with CCTV, it will be directed to the Facility Coordinator with skills and expertise in that specific area.

Now, let’s explore how you can efficiently route created Work Requests to designated Facility Coordinators within the system.

  1. There are 2 main ways to kick off the process:
    1. Click the Set up Facility Coordinators button on your Welcome Email.
    2. Click Configure Automated Workflows link under the Automated Workflows section on the Data Configuration page. Afterward, click on the New Automated Workflow button.
  2. Automated Workflow Configuration page will open.
  3. In the Workflow Object box, select ‘Work Request’.
  4. In the Workflow Title box, type in a title for your Workflow to distinguish it.
  5. In the Trigger box, select the act (Trigger = Request is created) that triggers routing the created Work Requests to the Facility Coordinators.
  6. Under ‘Conditions’ section, select the condition which has to be fulfilled to execute the triggered action. This step is optional.
  7. Under the section ‘Action’, select the action which needs to be executed when the trigger is generated.
  8. In the User box, select the Facility Staff member that you want to make as the Facility Coordinator to receive the created Work Requests.
  9. Click Create to complete configuring the automation in the Work Request Workflow.
